• The Doxmate Healthcare SaaS platform is strictly an appointment management and communication tool.
• Brainox AI provides AI utilities and automation but does not engage in any medical decision-making.
• All medical treatment, diagnosis, and patient care responsibilities lie solely with licensed healthcare providers (hospitals, clinics, doctors, or medical staff).
• Patients must always seek professional medical advice from qualified healthcare professionals.

2. Data Handling

• Patient data processed through Doxmate is limited to administrative information such as:
  • Name
  • Phone number
  • Appointment details
• Brainox Tech does not collect or store sensitive medical information such as:
  • Health conditions
  • Prescriptions
  • Medical histories
  • Laboratory results
• All communication is encrypted in transit, and all data is hosted on secure AWS infrastructure with industry-standard protection.

3. Responsibility of Healthcare Providers

Healthcare organizations using Doxmate remain fully responsible for:

• Accuracy of patient information
• Appointment scheduling, changes, or cancellations
• Medical treatments and decisions
• Staff training and platform usage

Brainox Tech is not responsible for:

• Missed or incorrect appointments caused by user entry errors
• Patient no-shows or availability issues
• Failures caused by external third-party systems (WhatsApp, AWS, Meta, or network outages)

4. WhatsApp Cloud API Disclaimer

The Doxmate platform uses WhatsApp Cloud API for patient communication.

• All messages are encrypted in transit using Meta’s security protocols.
• WhatsApp is a third-party service provided by Meta Platforms, Inc.
• Brainox Tech is not responsible for:
  • WhatsApp outages
  • API changes
  • Message delivery failures
  • Service interruptions or policy changes by Meta

5. Limitation of Liability

Brainox Tech shall not be held liable for:

• Any medical or clinical outcomes
• Decisions made by healthcare practitioners
• Damages or losses resulting from reliance on automated reminders or scheduling messages
• Delays, failures, or errors caused by third-party infrastructure (WhatsApp Cloud API, AWS, Meta, etc.)
