At Brainox Tech, we are committed to building and deploying Artificial Intelligence (AI) responsibly across all platforms, including:
- Brainox AI – AI automation & productivity tools
- Doxmate – Healthcare AI Appointment Booking, Rescheduling & WhatsApp-based Reminders
- All internal AI systems and future AI-driven products
Our mission is to ensure that AI enhances operational efficiency while protecting user trust, privacy, safety, and fairness.
This Ethical AI Use Policy outlines the principles guiding our design, development, and deployment of AI systems.
1. Transparency
- AI interactions are clearly identified as automated responses, not human communications.
- Doxmate users (patients) are informed that appointment reminders and confirmations come from an AI system via WhatsApp Cloud API.
- Brainox AI tools make it clear when outputs are generated by machine-learning/AI processes.
We ensure users always understand when they are interacting with an AI system.
2. Fairness & Non-Discrimination
Our AI is designed to operate impartially:
- No bias or discrimination based on gender, age, race, ethnicity, religion, disability, or socioeconomic status.
- Decisions made by the AI (e.g., appointment slot allocation) are based only on availability and user-provided inputs.
- We continuously evaluate our systems for any unintended bias.
3. Privacy & Data Protection
We prioritize user and patient privacy across all AI-powered platforms:
- AI interactions are limited to administrative data only, such as appointment scheduling and reminders.
- The AI does not request or process sensitive medical information (diagnoses, prescriptions, symptoms, medical history, lab results, etc.).
- All data is handled in accordance with our Privacy Policy and stored securely using AWS infrastructure aligned with industry standards (HIPAA, GDPR where applicable).
- WhatsApp communication is encrypted in transit via Meta’s security protocols.
4. Accountability
We take responsibility for the AI systems we build:
- Brainox Tech is accountable for the behavior, outputs, and reliability of our AI models.
- Healthcare providers remain fully responsible for all clinical decisions, patient care, and diagnostic actions; our systems are administrative tools only.
- Misuse of AI—such as for unauthorized marketing, spamming, harmful behavior, or medical advice—is strictly prohibited and covered under our Acceptable Use Policy (AUP).
5. Human Oversight
AI is designed to assist, not replace, humans:
- Hospitals and clinics always have access to human support teams.
- Patients can escalate issues to human staff whenever needed.
- AI outputs are monitored and can be reviewed or overridden by authorized personnel.
Human supervision ensures accuracy, safety, and ethical compliance.
6. Continuous Improvement
We regularly update and refine our AI systems to:
- Improve accuracy, reliability, and efficiency
- Stay aligned with global ethical AI standards
- Maintain compliance with relevant regulations (GDPR, HIPAA, etc.)
